Application process
Your study exchange must comply with the formal eligibility requirements of the Erasmus+ exchange program.
A study exchange can only be carried out if an Inter-Institutional Agreement has been concluded between the home and host universities, which is valid for the entire duration of the stay. You can obtain information on partner universities from your home university.
The universities participating in KOOR - Erasmus Services BW make a pre-selection of applicants in accordance with the applicable study and examination regulations of the departments with regard to the admissibility of the study visit. You can find the relevant provisions of the study and examination regulations that apply to you on the website of your university/college or at the office of your study program.
Erasmus+ Study: Application Procedure
- Have you received your nomination for a study place abroad at a partner university? Then register in our online portal “Mobility Online”.
- You confirm your registration with the link that is sent to you via email immediately after registration, create a login name and a password.
- Upload your current certificate of enrollment, the signed insurance declaration (template in Mobility Online), the completed declaration of honor for the top ups (template in Mobility Online) as well as the declaration of honor for green travel (template in Mobility Online) to Mobility Online. In addition, you provide information on the course catalog of the host university and the consequences of failing the exam.
- Your application for the Erasmus+ scholarship will be formally checked by us.
- You will have access to the creation of the digital Learning Agreement or to the upload of the Learning Agreement created on the OLA website, depending on which system your home university works with (you will only see the steps relevant to you in the KOOR Mobility Online). Here is a brief instruction for creating the digital learning agreement via Mobility Online.
- Our checklist will help you create the Learning Agreement. Please make sure that you name the correct person from the department. If you are not sure who is responsible for signing the Learning Agreement please ask your International Office.
- Your signed Learning Agreement must be submitted in Mobility Online 1 week prior to the start of your semester abroad.
- We check your Learning Agreement.
- You complete an online language test in your course language abrooad. However, since the new language portal is not yet fully functional, the test is currently not mandatory. You can already use the new platform voluntarily for a language tests and vairous language courses.
- You will receive your Grant Agreement by e-mail. All information relevant to funding, such as funding duration and amount, is listed here.
- Print the Grant Agreement and send it with your original signature to KOOR by post.
- You will receive the payment of the first scholarship installment (80% of the total scholarship).
- Let us know within the first few weeks abroad of any changes to the course selection at the host university at the home or host university. As with the digital Learning Agreement Before, create the digital Learning Agreement Changes in KOOR's Mobiliy Online or upload the LA Changes created on the OLA website to us (again, you will only see the steps relevant to you in our system).
- Four weeks before the end of your study visit, you will receive an e-mail asking you to submit your final documents.
- You fill out the short experience report in Mobility Online.
- You upload the confirmation of stay (template in Mobility Online), the transcript of records from the host university and the certificate of recognition at the home university (template in Mobility Online) to Mobility Online (up to 10 weeks after the end of the stay abroad).
- Answer the participant report of the European Commission in the Beneficiary Tool (invitation sent by e-mail).
- KOOR will check the final documents and you will receive the remaining rate of 20% of the total scholarship.
